Purpose
A member of the Business Support Team who will provide efficient administrative and secretarial support, as well as Front of House duties.
Job Summary
Principal responsibilities are described below:
Administrative/Secretarial
· Provide day to day administrative assistance to members of the Edinburgh office
· Ad hoc administrative and secretarial duties on request
· Management diary co-ordination
· Minute taking and secretarial duties at meetings as required
· General office duties including filing and photocopying
· Setting up meetings and arranging rooms with refreshments and lunches
· Organisation of audio and video conferencing calls
· Archiving and maintaining of the archiving system
· Maintaining the Governance documents
· Adding and tracking training on our Learning Management System
· Helping to organise company events
Travel & Expenses
· General processing of expenses ensuring claims are submitted in a timely manner
· Booking of basic and complex travel arrangements
Front of House
· General processing of expenses ensuring claims are submitted in a timely manner
· Booking of basic and complex travel arrangements
Procurement
· Providing support with procurement requisitions and receipting
· Payment Card reconciliation (as required)

Education/Experience
· Educated to Standard Grade level English & Mathematics
· Experience in working in a fast paced office environment preferable
· Experience in all aspects of secretarial duties at a high level preferable
